How often does she need to do this? Should I assume she already has this week, or find a point to have her do it? And is it passing information back, or just acknowledging that she sent it?

She can have done so already; there's no set schedule but at least once a week when possible (only a few hours' swim will get her out of range of the others), and she knows that it is capable of passing information to the Empress but is probably not usually doing so - it is acting as her mission control/senior partner, and is trusted by the Empress to act according to her will.
